AI for real estate sales enquiries
An AI receptionist for real estate agents answers buyer calls and portal leads during open homes and after hours. It gives property facts and inspection times, records each buyer’s needs, and sends contract and offer requests to the agent. In Victoria it gives only the Property Price Statement’s price information, to stay within the Estate Agents Act 1980 underquoting rules.
When buyer calls go unanswered
Sales enquiries arrive in bursts. A new listing goes live on the portals, the signboard goes up, and the phone rings while the agent is running a Saturday open home on the other side of the suburb. Calls also come in the evening, when buyers are scrolling listings at home. The AI takes those calls in the agent’s name, so each buyer gets answered at the moment they are interested, and the agent gets a short written lead instead of a missed call.
How a buyer call is handled
- Greeting and property. The agent answers in the agency’s name, says it is an AI assistant, and asks which property the buyer is calling about.
- Property facts. It answers from the approved listing sheet: bedrooms, bathrooms, car spaces, land size, method of sale, auction date and inspection times.
- Price questions. It reads out only the price information the agent has approved for that property and offers to send the Property Price Statement link. It does not round, rephrase or guess.
- Contract requests. It takes the buyer’s email address and passes the request to the agent, who sends the contract and vendor’s statement. The AI does not send legal documents itself unless you set it to send a document the agent has uploaded.
- Buyer requirements. It asks what the buyer is looking for: suburbs, property type, bedrooms, price range, finance status and timing. It asks whether they want alerts about new listings and records the answer.
- Inspection booking. It registers the buyer for the next open home or books a private inspection into the agent’s Microsoft 365 or Google Workspace calendar.
- Offers. A buyer who wants to make an offer is transferred live to the agent, or the agent receives an urgent SMS if they cannot take the call. The AI never accepts, relays or discusses the amount of an offer.
- Lead record. The agent receives a summary by SMS and email, and the lead is added to HubSpot, Salesforce or Zoho, or to your agency CRM through its API where it has one.
Underquoting rules the AI follows in Victoria
Victoria’s underquoting rules cover what an agent tells a buyer as well as what goes in the advertising. Consumer Affairs Victoria says it is illegal for an agent to “advertise or advise” a price below the agent’s estimated selling price, the seller’s asking price or a written offer the seller has rejected. An AI answering in the agency’s name is advising buyers on the agency’s behalf, so the same limits apply to it.
The rules for agents that matter for the AI’s configuration:
- Property Price Statement. The Statement of Information is now called the Property Price Statement, with forms updated in September 2026. A buyer who asks for it must receive it within 2 business days.
- No qualifying words. Advertised prices cannot carry words or symbols such as “offers above”, “from” or “+”. The AI’s price answer uses the same form as the statement.
- Estimate changes. If the estimated selling price changes or a higher offer is rejected, online advertising must be updated within 1 business day. The AI’s price answer is tied to the same field, so it changes when the advertising changes.
- Reserve and sold prices. At least 7 days before an auction or fixed-date sale, the seller’s reserve price must be disclosed, and the final sale price goes into the Property Price Statement within 7 days of the sale going unconditional.
- Penalties. Non-compliance risks a penalty of 240 penalty units and, for serious breaches, loss of commission.
The estimated selling price, Property Price Statement and reserve price obligations sit in the Estate Agents Act 1980. Other states have their own underquoting and price disclosure rules; outside Victoria, the AI states only the price information your agent has approved in writing for that listing.
What buyers ask and how the AI responds
| Buyer asks | AI response |
|---|---|
| What is the price guide? | Reads the approved figure or range and offers the Property Price Statement link |
| Would the seller take less? | Says it cannot comment and passes the question to the agent |
| Can I get the contract? | Takes an email address; the agent sends it |
| What is the land size, and is there a pool? | Answers from the listing sheet |
| What have similar homes sold for? | Refers to the comparable sales in the Property Price Statement |
| Is it in a particular school zone? | Answers only if the listing states it; otherwise passes it on |
| I want to make an offer | Live transfer to the agent, or an urgent SMS |
| Can I see it tomorrow? | Books a private inspection into the agent’s calendar |
Buyer matching and alerts
Every buyer the AI talks to leaves a structured record: what they want, what they have seen and when they last enquired. When a new listing matches, the agent can approve an alert to the matching buyers, or set alerts to go automatically to buyers who asked for them.
Alerts about other properties are marketing under the Spam Act 2003. The ACMA’s rules require consent, the sender’s identity and a working unsubscribe honoured within 5 working days. The AI records consent during the call, with the date and the words used, and every alert carries an unsubscribe instruction.
What it does not do
- It does not negotiate, accept offers or tell a buyer what the seller might accept.
- It does not give its own opinion of value, market conditions or investment returns.
- It does not give finance, legal or conveyancing advice.
- It does not hold an estate agent licence, and neither does Yes AI. Your agency is responsible for what is said in its name, which is why the AI says only what your agents approve.
- It does not reply to vendors about their campaign; vendor reporting is drafted for the agent to send.
Plans and next steps
Sales teams need evening and weekend answering, which starts on the Professional plan ($599 per month monthly, ex GST, 1,500 minutes included). Agencies running several offices or wanting recorded calls usually take a Custom plan. See the cost guide for sizing.
If your agency also manages rentals, the AI receptionist for property management can answer the same number and route rental calls to the property management team. For a demo using one of your current listings, send the address through the enquiry form.
